AI Marketing for Professional Services Firms
AI agents built around your firm's voice, services and rules, and the training to help your team use them well. More output, less partner time, and nothing published that would not pass review.
What AI marketing means for a professional services firm
AI marketing for professional services firms means using AI tools to plan, draft and repurpose marketing work faster, while your people keep control of what is said and what is published. We build AI agents set up for your firm, train your team to use them, and put the guardrails in place that regulated firms need.
Most firms are already using AI in some way. A partner drafts a LinkedIn post in ChatGPT, a coordinator asks Copilot for a newsletter intro, someone pastes a client question into a free tool to see what it says. It is fast, but it is also generic, inconsistent and, in a regulated firm, risky.
We work as your AI consultant for marketing: we find where AI genuinely saves time, build tools that sound like your firm and know your rules, and teach your people to use them properly. AI does the first draft. Your people do the thinking, the checking and the approving.
Why professional services firms are moving on AI now
Six reasons we hear from the firms we work with.
Clients ask AI first
Prospects now put their questions to ChatGPT, Perplexity and Google's AI answers before they search for a firm. If your expertise is not written down clearly, AI cannot find it or quote it.
Small teams, big expectations
One coordinator is expected to run social, newsletters, events and the website. AI can multiply what a small team produces, if it is set up properly.
Partners are already experimenting
Individuals are using public AI tools with no shared policy, no consistent voice and no view of what information is going in.
Content takes too long
Articles and posts stall because partners do not have time to write. AI can turn a 15-minute conversation into a first draft.
Generic AI is easy to spot
Clients can tell when content was written by a default chatbot. Agents trained on your firm's voice and expertise sound like you.
Regulators are watching
ASIC, the privacy regulator and the legal profession regulators have all published expectations for how AI is used. It pays to get the governance right from the start.
How we implement AI marketing in your firm
AI implementation works best as a series of small, safe steps, starting with your marketing strategy so AI is pointed at what matters.

The AI agents we build for your firm
An AI agent is a set of instructions, knowledge and examples that turns a general AI tool into a specialist for one job at your firm. These are the six we build for professional services firms.
Blog writing
Turns a partner interview, meeting notes or a voice memo into a first draft of an article in your firm's voice, structured to be found in search.
Social media
Drafts LinkedIn and other social posts for the firm and for each partner, from their own ideas and expertise, ready to edit and approve.
Website
Drafts new pages, service descriptions and FAQs in your firm's voice, and keeps existing pages current.
Newsletters
Turns market updates, regulatory changes and recent content into a clear client newsletter or alert, with your structure and sign-off.
Research
Summarises industry news, competitor activity and client sector updates, so planning sessions start from the facts.
SEO
Plans the keywords and questions each page or article should cover, and the structure that helps it get found in Google and quoted in AI search.
AI training for professional services teams
Tools only help if people use them well. Our AI training is run as practical half-day workshops, built around your firm’s real work and tailored to each group.
Partners
How partners and leaders can turn expertise into content in minutes, and what to watch for.
- Getting a good first draft fast

- Using each agent day to day
- Writing clear instructions
- Quality and compliance checks

- What AI is good and bad at
- Your firm's AI policy
- Protecting client information
Using AI safely in a regulated firm
The rules that apply to your marketing still apply when AI helps write it.
Australian regulators have been clear that existing obligations apply to AI just as they apply to everything else. We build your AI marketing around those expectations from the start, and your compliance team or legal adviser keeps the final say on anything published.
Governance before tools
ASIC's Report 798 (October 2024) found financial services licensees were adopting AI faster than they were updating their governance. We help you set the policy first.
Client and personal information
The OAIC's guidance on AI products (October 2024) recommends, as best practice, not entering personal information into publicly available AI tools. Our agents are set up so client data stays out.
Confidentiality for lawyers
The joint statement from the NSW, Victorian and WA legal regulators (December 2024) expects firms to protect client confidentiality and set clear policies on which AI tools are used and how.
Advertising rules still apply
Content drafted with AI is still your advertising. RG 234, the solicitors' conduct rules and your professional obligations apply to every word.
A human checks everything
No AI-drafted content goes out without review by the right person at your firm.
The right tools for the job
We build on business-grade platforms, Claude, ChatGPT Team or Enterprise and Microsoft Copilot, with privacy settings suited to professional firms, rather than free tools that may use your data.
Being found in AI search
Your clients’ first search may not be on Google.
More and more people ask an AI tool to recommend an accountant, explain a legal issue or compare financial advisers. These tools draw their answers from content they can find, understand and trust. Firms that publish clear, well-structured answers to the questions clients ask are the ones that get mentioned.
This is sometimes called answer engine optimisation or generative engine optimisation. In practice, it means writing pages and insights that answer real questions directly, structuring them so AI tools can read them, and adding the technical signals, such as FAQ and service schema, that help them understand who you are. It is how we have built our own website, and how we build our clients’ websites and content.
Doing it yourself, a generic AI tool, or AI marketing with us?
The three ways firms usually approach AI in marketing.
| Public AI tools on your own | Generic AI software | AI marketing with Paraìba | |
|---|---|---|---|
| Sounds like your firm | Rarely | Partly, with effort | Built on your voice and past content |
| Knows your rules | No | No | Your compliance rules built in |
| Client information | Easy to put at risk | Depends on the product | Kept out by design |
| Training for your people | None | Product how-to only | Practical, firm-specific workshops |
| Policy and governance | Usually none | Not included | Policy set up first |
| Senior marketing oversight | None | None | CMO-led, linked to your strategy |
Why Paraìba for AI marketing
Our founders, Kayla and Nicolette, have both worked in highly regulated industries. We know marketing in these sectors has to be buttoned up: written in the right language, accurate in every claim, and ready for review before it goes anywhere.
We use AI in our own marketing work every day, so we know where it saves real time and where it needs a careful human eye. AI Marketing is often paired with our Fractional CMO service: your CMO sets the direction, and AI helps your team deliver more of it.
What you get
- AI agents that sound like your firm
- Training your people will actually use
- A clear AI policy for marketing
- Human review on everything that goes out
FAQs: AI marketing for professional services
The questions firms ask us about AI.
What is AI marketing?
AI marketing is the use of AI tools to plan, create, repurpose and measure marketing work. For a professional services firm, it usually means faster first drafts of articles, social posts, newsletters and website content, with your people reviewing and approving everything before it is published.
Is it safe for a regulated firm to use AI in its marketing?
Yes, with the right guardrails. That means approved tools with business-grade privacy settings, a clear policy on what information can be used, and human review before anything is published. Regulators such as ASIC, the OAIC and the legal profession regulators have all said existing obligations apply to AI, so we plan around them from the start.
What is an AI agent?
An AI agent is a general AI tool set up for one specific job, with instructions, knowledge about your firm and examples of good work. Instead of starting from a blank chat each time, your team uses an agent that already knows your voice, services and rules.
Will AI replace our marketing coordinator?
No. It changes what they spend their time on. AI handles first drafts and repetitive work, so your coordinator can spend more time on planning, relationships and quality. Most firms find they get more done with the same team.
Will the content sound like AI?
Not if it is set up properly. Generic AI writing is easy to spot. Our agents are built on your firm’s own content and tone of voice, and every draft is edited by a person before it goes out.
What happens to our client information?
We set agents up so client and personal information is not needed and is not entered. In line with the OAIC’s guidance, we recommend never putting personal information into publicly available AI tools, and we help you choose tools with appropriate privacy settings.
Which AI tools do you use?
We build agents on Claude, ChatGPT Team or Enterprise, and Microsoft Copilot. If your firm already uses one of these, we usually build on that, so your people work in a tool they know and your IT settings stay in place.
What happens to our agents if we stop working with you?
You keep them. Our agents are built from Paraìba’s own skills and methods, and we hand them over for your firm to keep using, whether or not you keep working with us.
Do we need a fractional CMO to use AI marketing?
No, but the two work well together. AI makes a team faster; a CMO makes sure it is working on the right things. Every AI engagement starts from your marketing strategy either way.
What does AI training involve?
Training is usually run as half-day workshops, built around your firm’s real work and tailored for partners, your marketing team or the whole firm. People leave knowing how to use each agent, how to write good instructions and how to check what comes back.
How much does AI marketing cost?
It depends on how many agents you need, how much training is involved and whether you want a one-off set-up or ongoing support. We scope it after an initial call, so you know exactly what is included before you commit.
Is there a lock-in contract?
No. Some firms want a one-off set-up and training, others want ongoing support as well. Where support is ongoing, it runs month to month with 60 days’ notice to end it.
Can you help our firm show up in ChatGPT and other AI search tools?
Yes. We write and structure your website and insights so AI tools can find, understand and quote them, using the same approach as for Google: clear answers to real questions, good structure and the right technical signals. No one can guarantee what an AI tool will say, but clear, well-structured content gives you the best chance.
